  • We don’t use tracking software hosted by third parties
  • We encrypt data everywhere – be it data in transit or data at rest
  • We only use strong encryption algorithms which are not known to be compromised
  • We rely on open standards and open source software only
  • We put the user back in charge of his own data

Concerning your personal data we comply with the EU GDPR and therefore need to inform about your rights:

Soldupe User Dashboard

Registering at the Soldupe User Dashboard

When registering with Soldupe, we collect the following data from you:

1. Username
2. Display Name
3. E-Mail
4. Password

We need this data in order to provide you a stable, safe and convenient user experience with Soldupe Cloud Services.
You can change any data, except your username, later on at the Soldupe User Dashboard!

Ad 1. Username
Your username will be used for logging on to Soldupe and for logging purposes. Cannot be changed by yourself.

Ad 2. Display Name
Your display name will be shown to other Soldupe users. You can change it anytime at the Soldupe User Dashboard.

Ad 3. E-Mail
Your E-Mail address will be used to send you the activation link (double opt-in) for your Soldupe account, as well as information regarding your subscription or other general information about Soldupe Cloud Services like announcements of maintenance windows, updates, etc. It will NOT be used to send you advertisements or our Newsletter!

Ad 4. Password
This is the password you will need to use to log on to the Soldupe User Dashboard, our Cloud backend and our chat services. Your password is stored in a secure way (salted & hashed) and can be changed at anytime at the Soldupe User Dashboard.

System Notifications:
At the Soldupe User Dashboard you can find a history of your System Notifications. You will receive a System Notification when:

– you registered your account
– you start and/or end your Free Trial Period
– you purchase a Soldupe subscription and whether it’s an initial purchase, an extension of an existing subscription and/or an upgrade.
– you redeem a voucher code
– you change one of your personal settings
– your subscription is about to expire

If you notice suspicious activities there, please don’t hesitate to get in contact with us!

Buying/extending/upgrading a Soldupe subscription

When using our webshop, we collect the following personal information from you:

9. Setup Fee (if applicable) (4)

(1) Your username, your IP-Address will be determined automatically and cannot be changed by you.
Depending on your IP-Address you will get assigned to a country and its specific VAT rate.

(2) Your name will be auto-filled with your Display Name and you need to enter an address.
You can use aliases for your name and address, but please take into consideration that these values will be shown at the corresponding bill!
So if you need a bill, please enter the correct values.

(3) You can choose your desired subscription level from a drop-down menu, as well as your preferred payment provider.

(4) These values will be calculated based on your previous choices and will be shown to you before you can continue to payment.

This data will used to provide you with a valid bill and for our accounting. It will be stored as long as you have an active account with Soldupe. Once you exercise your right to erasure (“right to be forgotten”), we will delete all your data except data we need to withhold for legal reasons such as accounting, etc.

This data will also be used to build a shopping cart, which will be used to redirect you to our payment provider. We do not request, process or store any payment data like credit card numbers and similar! We only store a unique transaction ID, which will be used by our payment provider to let us know whether your financial transaction succeeded or failed. This procedure also ensures that we do not learn about your real identity, if you decide to use an alias on your bill.

Cookies

As with all our other webservices, we use cookies on the Soldupe User Dashboard to ensure proper function. If you block cookies, you might not be able to use the Soldupe User Dashboard.

Tracking

When accessing the Soldupe User Dashboard following data will be logged by the webserver itself:

  • IP-Address
  • Time and Date
  • URL
  • HTTP Response Code
  • User-Agent
  • HTTPS encryption algorithm

Access to the Soldupe User Dashboard is logged only by the weberver and is used for maintenance purposes only. Logfiles will be deleted automatically after 48 hours, except in case of an incident. In case of an incident, the needed logfile data will be saved and used for troubleshooting procedures and deleted after solving the issue.

Soldupe Sync

Soldupe Sync is the official app for syncing your calendars and addressbooks on your Android client with the Soldupe Cloud Services backend. Soldupe Sync is based on DAVdroid and it handles sensitive data the same way:

Your login data (username and password) will be transmitted to the Soldupe Cloud Services backend only.
Your data (contacts, calendar entries, tasks) will be transmitted to the Soldupe Cloud Services backend only as well.
Your credentials (username and password) are stored using Android’s account manager and not by Soldupe Sync itself.
To protect your login data, please consider using full-disk encryption and enabling a lock screen on your mobile device.

Soldupe Sync requires the following permissions:

  • add or modify calendar events and send email to guests without owners’ knowledge
Contacts
  • find accounts on the device

The Soldupe Chat Backend

When you access the Soldupe Chat Server, we store the following information:

Access itself to the Soldupe Chat System is NOT logged by the chatserver. This means, we do not log when you login or from where you login (IP-Address) to the Soldupe Chat Backend. Only warning and error messages will be logged.

These logfiles will be deleted automatically after 48 hours, except in case of an incident. In case of an incident, the needed logfile data will be saved and used for troubleshooting procedures and deleted after solving the issue.

When you send a message via Soldupe, we will store the message in a database for the following reasons:

– you are offline and nevertheless want to receive messages sent to you while being offline (XEP-0160 & XEP-0313)
– you want to sync your conversations and their history seamlessly across your devices (XEP-0313)
– you want to read the history of a multi user chatroom (XEP-0313)

We store max. 1.000 offline messages for each user and keep a multi user chatroom history of 20 messages for each chatroom. You need to actively opt-in for message archive management in your client software!

Sending files via Soldupe Chat

You can either send a file directly to your chat partner, which means that there won’t be any Soldupe servers involved.
Since this can be a problem on low bandwidths or if your chat partner is offline, you can also send your file(s) via HTTP-Upload (XEP-0363). In that case, you will upload your file(s) to our chatserver and automatically send a link to your chat partner(s), so that they can preview/download them.

If you are using the HTTP-Upload feature, your files will be stored for 30 days on our server, before they will get automatically deleted.

Please keep in mind, that the messages, as well as the uploaded files are stored “as is”! That means, if you use OMEMO for real end to end encryption, your messages and files will be stored encrypted. If you send your messages and files in plain text, they will also be stored in plain text!

As usual, we encourage everyone to use end to end encryption with OMEMO whenever possible!

The Soldupe Cloud Services Backend

Cookies

As with all our webservices, we use cookies on our backend to ensure that all our services deliver high quality experiences to our customers, so basically we are depending on them. If you are blocking cookies, we cannot guarantee our services to work properly. These cookies are not used for tracking but for session stickyness and to keep you logged into the Soldupe Cloud Services Backend, if you are using the webinterface.

Tracking

Access to the Soldupe Cloud Services Backend is logged only by webservers and is used for maintenance purposes only. Logfiles will be deleted automatically after 48 hours, except in case of an incident. In case of an incident, the needed logfile data will be saved and used for troubleshooting procedures and deleted after solving the issue.

Your data and meta-data (activity stream) will be stored as long as your account is either in “Free Trial Period”, has an active subscription or is in post-contractual retention period. Once your account is not in one of the previous described states, your data will be deleted and cannot be recovered anymore.

This Website

Cookies

With Matomo (former Piwik) we are using a self-hosted tracking platform in order to learn the following things about our visitors:

The IP-Addresses we collect with Matomo get anonymized and we respect the “Do not track” flag (DNT).

The logfiles contain the following information about you:

  • IP-Address

  • HTTP Response Code
  • User-Agent
  • HTTPS encryption algorithm

We use this information to find out how our visitors are navigating the website (“do they find the information easily, which they are looking for?”) and which devices they are using. This information helps us optimizing this site for an even better user experience.

If you sign up to our Newsletter, we guarantee you that

  • you will only receive emails with Soldupe related content
  • your email address will not be sold to any 3rd party and solely used for this mailing list
  • you will not receive any advertisements about 3rd party products

When signing up, you have to go through a double opt-in process before you will be able to receive our Newsletter.
You can sign off from our Newsletter anytime you want!
